Our client, a reputable global law firm, is seeking an Assistant to support a team of Partners in their Sovereign Practice Group, based in central Paris.
The role suits bilingual English / French candidates who have experience working in a Partnership environment and are at ease organising complex travel and diary arrangements.
You will support the Managing Partner for the practice along with three other partners.
This is a classic PA position. Candidates do not need to have a legal background, although experience from a law firm is welcome.
Key Responsibilities:
Organisation and Planning
- Manage professional and personal agendas, coordinate appointments, and liaise with external support staff.
- Book meeting rooms, arrange video conferences, and organise catering.
- Assist with travel arrangements, including visa applications and embassy visits.
- Register for conferences and manage associated documentation.
- Conduct electronic and paper filing in line with internal systems.
- Support monthly reporting by collating relevant data.
Client Relationship Administration
- Maintain and update CRM databases (Interaction, Credentials database).
- Assist with event administration, including badge preparation and coordination with Business Services and Business Development teams.
- Keep business development databases and practice brochures up to date.
Financial Administration
- Support fee-earners with billing processes and assisting with expense and invoice processing.
Matter Opening Administration
- Facilitate the completion of New Business Initiative forms.
- Assist in conducting conflicts and Anti-Money Laundering checks.
- Maintain accurate party lists and contact databases.
- Prepare document templates as required.
General Administration
- Perform document management tasks such as copying, scanning, and printing.
- Assist in preparing files, bibles, and document bundles (both hard copy and electronic).
- Manage file archiving and retrieval.
- Order office supplies and business cards.
- Coordinate document courier services.
- Scan and distribute incoming mail for Paris-based partners and other relevant communications.
Required Experience, Skills, and Attributes:
- Experience as an Assistant in a law firm, audit firm, management consulting, financial services or other professional services environment
- Fluent in English and French (Spanish skills are an advantage but not essential).
- Strong ability to build trusted relationships and work collaboratively.
- Reliable and composed under pressure.
- Proactive problem-solving mindset, anticipating challenges and seeking solutions.
- Excellent organisation, communication, and administrative skills.
- High attention to detail and accuracy.
- Effective time management and ability to prioritise tasks.
- Proficiency in Microsoft Office suite and adaptability to new technologies.
- Enthusiastic team player with a willingness to support colleagues.
- Experience in legal project management is a plus.
This role may require participation in an on-call rota for urgent client-related matters due to the global nature of the team.
