The Opportunity
As (executive) assistant, your role is to mainly support the Deputy Chief Financial Officer and the Finance management team within Worldline with various tasks to make their daily life easier, efficient and organized. The support required is diverse and spans from administrative tasks to activities around the yearly Financial agenda, together with the Finance managers.
Day-to-Day Responsibilities
You manage multiple complex agendas simultaneously
You are responsible for travel arrangements, document handling and business correspondence for your function leader
You organize, prepare and administer meetings with agenda
You follow-up on various assignments resulting from said meetings
You can assist budgetary topics such as expense reports & purchase orders
You are responsible for some staff related activities such as onboarding & offboarding, team absence administration & logistics for team events
Who Are We Looking For
5 to 10 years of experience as an executive assistant
Strong communication skills, comfortable engaging with Executive Committee (ExCom) members and high-profile external stakeholders.
Excellent situational awareness, with the ability to navigate complex environments and identify key priorities.
Proactive problem-solving approach, including the ability to anticipate needs and suggest organizational improvements to prevent future issues (e.g., resolving potential scheduling conflicts in advance).
Outstanding organizational and time-management skills, with the ability to handle multiple priorities efficiently.
Proven capacity to manage and maintain confidentiality with sensitive information.
Meticulous attention to detail, ensuring accuracy in all tasks and documentation.
Ability to thrive under pressure and meet tight deadlines without compromising quality.
Experience in a similar role is essential.
